After you apply

Once you submit your application, the VU Clubs Team will review your idea. If approved, we’ll create a membership form for your club and send you the link to share and start collecting registrations. We'll also promote your club across various VU channels.

Club affiliation 

To be affiliated, your club must have:

  • at least 10 current VU student members
  • 3 students committed to Executive roles (President, Secretary, Treasurer). Students can nominate themselves for executive roles via the membership form. All nominees must attend an Inaugural General Meeting (IGM) to be elected.

Before affiliation is approved, elected committee members must complete the following training:

  • Club governance and role training (online) 
  • VU Safety and respect modules (online via VU Learning Hub)
  • Event planning and risk assessment (In-person 6 hours)

Re-affiliate an existing club

Affiliation for each club is valid from 1 December until 30 November the following year. Continuing clubs must apply to re-affiliate on an annual basis.

Re-affiliation period

Clubs are to re-affiliate by 30 November each year. This ensures that clubs are affiliated in time for important events occurring early in semester.

If you club commences after Semester 2, you will be required to re-affiliate mid year the following year.

Clubs that wish to re-affiliate will go through the process during their AGM and then submit their re-affiliation documents by the deadline, to ensure that their club can fully operate from the beginning of semester 1 or 2. Clubs cannot request their allocated funding until their affiliation forms have been received and induction training has been attended.

How to re-affiliate

Clubs that wish to re-affiliate must:

  1. hold an Annual General Meeting and elect the Executive and General Committee for the next Clubs Term
  2. adopt the VU Student Group Constitution and email this to clubs@vu.edu.au
  3. complete all re-affiliation forms and send them to clubs by the deadline.

Forms & support

We are dedicated to providing all VU clubs with training and ongoing support to help with club management, finances and much more. In addition, we provide training and professional development opportunities to club executives.

Once you reach 10 members, we will:

  • organise an Initial General Meeting (IGM) to elect your committee
  • provide required training
  • support you to begin running events and activities.

We’ll also help you to:

  • set up a club Gmail and social media accounts
  • access club resources
  • set up a club bank account.
