First time enrolment

All new students need to enrol to officially commence studies at Victoria University.

The Student Guide provides a great deal of important information for all students, including key dates for enrolments, fees and examinations, getting involved and getting help as well as communication with the University, policies, the student charter and health and safety information.

Before you enrol

Before your enrolment session, we will send you either an email, enrolment letter or a text message letting you know when and where your enrolment will be. You must attend enrolment on the day, time and venue specified, and allow approximately 3 to 4 hours for enrolment. Penalties may apply for missing your enrolment session. Please contact us if you cannot attend.

Proof of citizenship

You must bring proof of your citizenship status or you won't be able to enrol.

We will accept an original or certified copy of your:

  • Birth Certificate or an extract of Birth Certificate (and Marriage Certificate where a name has changed because of marriage)
  • Certificate of Australian Citizenship / Permanent Residency (Australian residents only)
  • current Passport or Visa (showing the Visa Class Number)

If the document produced does not include a date of birth, a current driver’s license or a proof of age card is also required.

Vocational Education/Further Education (VE/FE) students who are Fee for Service, e.g. Industry clients or VETiS students are not required to present proof of citizenship.

Fee related documents

You may need to provide additional fee related documentation depending on whether you are sponsored, Commonwealth Supported or have concession.

Sponsored students

Sponsored students (including International students) must provide a completed and signed Sponsor Agreement form.

Commonwealth supported students

Australian citizens and Humanitarian Visa holders studying at Diploma level or above who wish to defer their fees must complete and submit the appropriate HELP request form prior to Census date or your enrolment may be cancelled. Only the student receiving Commonwealth assistance, or a person with legal Power of Attorney to act on their behalf, may sign the form. This may not be the same as the person acting as your proxy for enrolment.

You can check your eligibility for a Government funded place online through Study Assist. HELP Request forms are available from any Student Service Centre or at your enrolment venue.

Concession holders

If you are enrolling into a VE/FE Government funded course and are eligible for a fee concession you must bring a valid concession card to your enrolment session. If you receive your concession card after your enrolment session, the concession fee rate cannot be applied to the current enrolment but will apply from the next enrolment period.

Enrolment day

If you can't personally attend enrolment, make sure to organise someone to enrol on your behalf (called a 'proxy'). The proxy must bring a signed A47 Enrolment by Proxy form with them on the day.

You may be required to present at a central data processing venue, a Student Service Centre or your enrolment form may be collected for entry at a later time. You will be advised about how your form will be processed and what steps to follow.

VE/FE Government funded students seeking concession fees must present a valid concession card at the time of enrolment.

Choosing your units

Your Course Coordinator or College representative will authorise your Unit(s) of Study enrolment details on the enrolment form. Ask for advice if you're not sure what units you should be enrolling into.

You can amend your enrolment without incurring Unit of Study charges or late withdrawal/fail results until the relevant Census date in each semester. Refer also to Important fee dates in the Student Guide.

Your personal details

It is your responsibility to ensure that your personal information and enrolment details are correct.

Make sure you answer the statistical questions on the back of the enrolment form, even if the information has previously been supplied, as we are required to report this data to Government. Information is collected in accordance with the VU Privacy Policy.

Once your enrolment is processed, a Statement of Account (invoice) will be issued either on the spot or online via MYVU Portal (Student Connect) showing your enrolment details and the fees required to be paid.

You must check your invoice to ensure that your course, units and all personal details are correct. If you find an error please notify an Enrolment Officer while you are still at the enrolment venue (if possible) to have the error amended immediately.

Enrolment dates for international students

If you are a new international student you will need to attend one of the following enrolment sessions for Semester 1, 2013.

When you enrol, remember to bring:

  • a copy of your electronic Confirmation of Enrolment
  • proof of citizenship (a valid passport or birth certificate)
  • any letters from Victoria University International stating exemptions you may have received.

Certificate, diploma or advanced diploma courses

International students enrolling in certificate, diploma or advanced diploma (also known as TAFE) courses for semester 1, 2013 must attend the TAFE orientation and enrolment session on Thursday 7 February 2013 in Building T, Room T226 at our Footscray Nicholson Campus.

Higher education courses

Enrolments for business and law courses delivered at city campuses*

*Business and law students who will study at City Queen or City Flinders Campuses will enrol at City Flinders Campus. Enrolment for all other business and law courses will be on 15 February at Footscray Park Campus. Details will be provided prior to enrolment. You can check your course location on your offer letter.

If you change your units of study after week one of any semester you will have to pay a late amendment fee.

Your student enrolment details must be finalised for each semester by the census dates. If you withdraw from your course after these dates, you will have to pay fees and there will be academic penalties.

  • Semester 1, 31 March
  • Semester 2, 31 August

After you enrol

You must pay your fees by the due date on your invoice, except for fees deferred through HECS-HELP, FEE-HELP or VET FEE-HELP. If you do not pay all fees due your enrolment may be cancelled and you will lose your place. Find out more information about your fees.

If you have paid any fees due, you will have your photo taken and obtain your Victoria University student ID card on the day, which is also your library card. You can also avoid the queue by submitting your own photo online.

Your VU Student Diary is available each year from mid-February and can be collected from a student lounge or a Student Service Centre. It is a great reference, with important dates, activities and contacts to help you with organising your student life at Victoria University.
