Airport pick-up terms & conditions - VU Sydney
Victoria University Sydney offers a free airport pick-up service to all new international students. This is our way to say welcome and help you have an easy arrival in Australia.
Victoria University Sydney is happy to organise a pick-up from Sydney Airport. You only need to fill out the form and give us your arrival details. Please also tell us where you will stay in Sydney.
Important information
- We can only confirm your pick-up if you follow all the rules in this form.
- You must submit this request form at least four (4) days (96 hours) before your arrival in Sydney. If the form is not complete, we cannot confirm your pick-up.
- Before requesting the pick-up service, you must have accepted your VU offer and have a valid Confirmation of Enrolment to study with VU Sydney. If you don’t have this, we cannot accept your booking request.
- Our Student Ambassador will call or text you on your WhatsApp after your flight lands. Please make sure that you turn your phone on, connect your phone to the airport’s free Wi-Fi, and or enable global roaming.
- The Australian Border Force website provides a guide to food you can bring into the country. If you bring food into Australia, it must be declared and may cause delays passing through customs.
- Do not bring over the counter medicine, doing so may cause delays passing through customs, which could lead to your booking being cancelled if you arrive late. Once you arrive you can buy over the counter medicine from Chemist Warehouse.
- Refer to section below under "If you arrive late or not at all" for further information inclusive of the following:
- Please ensure that you do not leave any of your belongings in vehicles, we may not be able to guarantee the safety of your lost luggage. You may need to make a private arrangement to have your lost property delivered to you. Price would depend on your address.
Before completing the form
Before you request for pick-up, make sure you have:
- accepted your offer to study at VU Sydney
- a valid Confirmation of Enrolment
- booked your flight
- a required visa to enter Australia.
What to do when you arrive
- On the day you arrive, our Student Ambassador will call or message you on WhatsApp after you land. Please make sure the phone number you write in the form has WhatsApp. Use free airport Wi-Fi or turn on roaming so we can contact you..
- Most students meet the Student Ambassador in under 60 minutes after their international flight lands.
- It is important that you stay inside your arriving terminal.
- Arriving on an international flight (Sydney T1), exit the customs area and look for a Student Ambassador holding a name card with your name on it and wearing a VU Sydney T-shirt. This confirms they are officially representing Victoria University Sydney. The Student Ambassador will also have your contact details as provided in your booking.
- Ensure your mobile phone is switched on and WhatsApp is working, connected to the airport’s free Wi-Fi, or has international roaming active so our Student Ambassador can contact you if needed.
- Our Student Ambassador will contact you via WhatsApp. Kindly have WhatsApp installed and working on your phone before your arrival.
If you can’t find our Student Ambassador, you can text them using WhatsApp on +61 415 821 562. Alternatively find a public phone and make a free call (no coins required)
Do not just leave! VU Sydney will not compensate you for the cost of alternative transport if you missed the pick-up.
If you arrive late or not at all
- If you miss a flight on your way to Australia, you must notify our Student Experience Officer as soon as possible by email at . If you tell us at least 14 hours before your new arrival time, we will try to organise another pick-up.
- If you board your flight but find it is delayed, note that VU Sydney monitors all incoming flights arrival times and will be at the 'meeting point' to align with your new arrival time.
- Note that VU Sydney staff do not check emails between the hours of 6pm—9am Sydney time (AEST).
- Your booking will be cancelled if you do not arrive on the specified date and time and fail to notify VU Sydney at least 14 hours prior to your original flight arrival time and date request.
- If you need to cancel or change your booking, email as early as possible to ensure you remain eligible to make a booking in the future.
- All Victoria University Sydney new students are eligible for a one-time free airport pick-up service when the above conditions are met.
